G-Suite For Education

G Suite for Education (GSE) is an integrated communication and collaboration solution, hosted by Google and managed by West Islip Public Schools.

 

G Suite for Education (GSE) allows West Islip students, faculty, and staff to communicate, store files and collaborate on documents, spreadsheets, and presentations in real time from school, work, or home, all within a secure “closed campus” online environment.

There is no cost to use GSE. G Suite for Education includes the following apps for students: Calendar, Classroom, Draw, Drive, Docs, Forms, Sheets, Slides and Sites and Mail (grades 6-12).

Students will have easy access to their documents, spreadsheets, and presentations within Google Docs. In addition, students will have additional storage for other files they may need to use between home and school. GSE provides the ability for classroom collaboration. 

Anytime, anywhere access to Google Docs lets users be productive at school, at home, and even on their mobile devices. Google Docs runs in a web browser, therefore, students can work from almost any computer without having to purchase new software. Users can easily upload and share files.

Google Docs works on PC, Mac, and Chromebooks, and supports popular formats such as .doc, .xls, .ppt, and .pdf. Files stored on Google Docs are always accessible and backed up online. Google Docs' intuitive commenting feature is ideal for instructor and collaborator feedback. Revision history allows users to review document edits over time.

 


G Suite for Education Access Information for Students

With teacher guidance, students will initially log into their G Suite account. The log in format is as follows:

Year of graduation + your last name + first letter of your first name + @wiufsd.org
Example:  John Smith is graduating in 2018.
(Use high school graduating year)
18smithj@wiufsd.org
Password: Wis + student id
Wis12345 (wis + use your student ID minus any zeros in the beginning)


G Suite for Education at Home

The use of G Suite for Education in West Islip Schools is part of the instructional program and students have opportunities to work in their district G Suite account during the school day.

G Suite is accessible using a mobile browser or using apps which are available in the iTunes App Store and the Google Play Store. Apps are available for: Calendar, Drive, Docs, Sheets, Slides, Drawings, Classroom, and Mail.

Since GSE is accessible from any device with access to the Internet, your child does have the opportunity to log in to his or her West Islip G Suite account from home to access their information or work on their documents, and collaborate on shared documents with other students and their teacher.


Student E-mail Accounts

Providing students in grades 6-12 with a closed e-mail address will allow for streamlined collaboration among their peers and teachers. This will allow e-mail to become an instructional tool and allows students to participate in authentic online learning in a safe environment.

West Islip G Suite is a “restricted environment.” It will not allow students to send or receive e-mail outside of the West Islip G Suite domain. You will not be able to e-mail your student at his or her wiufsd.org address, nor will they be able to e-mail you.


Parent Access

Currently only West Islip employees and students can access their West Islip G Suite for Education accounts.

There is not a Parent View account for G Suite. Parents are encouraged to explore G Suite with their children by logging in together. You will be able to have your student log in to his or her West Islip Google account at home and show you what they are currently working on in class, as well as items that have been turned in and commented on by the teacher.


Privacy and Safety

West Islip takes security and privacy of student information very seriously. West Islip G Suite is not accessible by anyone outside of West Islip, so your student will be able to work and collaborate in a safe and secure online environment.

West Islip is responsible for protecting and safeguarding the confidentiality of student information. West Islip has contracted with Google to provide access to G Suite for Education to its users (students and staff) in a closed and secure environment that is not accessible by anyone outside of West Islip. G Suite is governed by detailed privacy policy and security measures which West Islip has reviewed and is satisfied they appropriately protect the privacy of its users of these tools. Under our Terms of Service Agreement with Google, like West Islip, is obligated to comply with FERPA regulations. Read additional information about GSE security and privacy.

West Islip has a signed agreement with Google based on their Online Terms; West Islip G Suite for Education is compliant with the Family Educational Rights and Privacy Act (FERPA) and Children's Online Privacy Protection Act (COPPA.)

The G Suite Terms of Service agreement with West Islip contractually ensures that our institution (students, faculty, and staff) are the sole owners of their data. Google will only access content stored on Apps when an administrator from West Islip grants Google explicit permission to do so. There are no advertisements used with G Suite for Education.


Applications and Classroom Collaboration

G Suite for Education will provide students with secure and easy online access to documents, spreadsheet, presentation, and communication tools that can be accessed easily from home or school and enhance teacher and student collaboration in the classroom and beyond.

Teachers can use Google Docs to facilitate group projects and use the history tool to see the level of participation of each student in a group. Teachers will be able to give feedback to students directly in documents shared with a teacher. Turning in assignments will be as easy as sharing the file in Google Docs with the teacher, or by submitting through Google Classroom.

The owner is the only person who can delete a document. Once a document is deleted, no one can access it, including those with whom it was shared.

The use of G Suite for Education is another tool West Islip provides to help students and teachers communicate, collaborate, apply critical thinking skills, and to work creatively. Teachers will continue to answer students’ questions in the classroom. G Suite for Education provides students an additional opportunity to ask a teacher a question electronically, helping students learn to communicate in a real world environment.


Things to Keep in Mind When Using West Islip G Suite for Education:

  • Remember to never share your G Suite password.
  • Report any inappropriate use to a faculty or staff member at your school. It will be investigated.
  • Over the summer, your G Suite account and its tools will continue to be available for use, and any files from this school year will also be available.
  • Remember that using G Suite for Education outside of school is just like being in school. Students are responsible for following all West Islip Code of Conduct guidelines and the West Islip Acceptable Use Policy.
