Searching for Calendar
Events
To find calendar events with a text string (Keyword) in
the title or description:

Printing Calendars
We recommend you use the "Print PDF Calendar" button
located next to the help button to print a 12 month
version of the calendar. This version will be updated
monthly.
Otherwise, you may print your calendar by using the Calendar
"Print" button or use your browser's print feature.
If your calendar has many events and you need to
"shrink" the calendar for printing, we recommend using
Internet Explorer version 7.0 or newer.
For best results, we recommend setting your Browser
print options as described below.
1. On Internet Explorer version 7's menu bar, click on
the print icon and choose "Print Preview".
2. Click the Landscape button for optimal orientation.
3. Choose the percent size from the Change Print Size
dropdown list.
4. Click the "Page Setup" button and adjust the margins
for maximum space.
5. Click on the Turn Headers and Footers On and Off
button to gain maximum space.
NOTE: To print category color codes, go to your
browser's "Tools" menu and select "Internet Options".
Under the "Advanced" tab, scroll down and check the box
"Print background colors and images".
Setting Event Email Reminders
In the Event Details Pop-Up window, all visitors and
users can set an email reminder for a particular event
by:
1. From the event popup window, click "Set Reminder"
(Note that this button is only available for future
events and will not be seen for events whose start times
have passed.)
2. Enter your email address and set the time you would
like to receive your email reminder.
3. Click "Set Reminder" and you will receive a reminder
email at the designated time.
Exporting Calendar Events
For Importing Into Microsoft Outlook, Palm and other
applications (Note: This feature may not be available to
all users depending on administrator settings).
Export Steps
1. Select date range to be exported. Only events within
the Begin Date and End Date will be exported.
2. Select categories to be included in the export. Only
events assigned to the highlighted categories will be
exported.
3. Select the Export File Type that best matches how you
will use the exported file. For example,
vCalendar Interchange Format: Use this file type for
importing events into Palm or Microsoft Outlook*.
Comma Separated Values: Use this file type for importing
events into programs like Microsoft Excel or Microsoft
Outlook*.
Select "Use European Date Format" if your computer is
set for this date format (i.e. DD/MM/YYYY) otherwise
dates will be exported in the MM/DD/YYYY format. This is
set in your computer's Control Panel / Regional
Settings. This only applies to .csv format.
*Note: vCalendar is easier for one-time imports into
Outlook. Use Comma Separated Values format for later
imports into Outlook to prevent duplicates.
4. Press the "Export" button and save the file to a
location on your computer. The file will be named "CalendarWiz
_Export".
Importing To Palm and Outlook
View the sections below for instructions to import your
export file into Palm or Microsoft Outlook:
Importing vCalendar Files Into Outlook
Important: vCalendar is easier for one-time imports into
Outlook. Use Comma Separated Values format for later
imports into Outlook to prevent duplicates.
1. Open Microsoft Outlook.
2. On Outlook's menu bar, go to "File" then select the
"File Import and Export..." menu option.
3. Choose "Import an iCalendar or vCalendar file (.vcs)"
and click "Next".
4. At the bottom of the file "Browse" screen, select
Files of type: "vCalendar Format (.vcs)".
5. Locate the file "CalendarWiz_Export.vcs" and click
OK. The file will then be imported into the Outlook
calendar.
Removing CalendarWiz Imported Entries From Outlook
You can remove Outlook calendar entries imported from
CalendarWiz using the following steps:
1. Open Microsoft Outlook.
2. Go to the Outlook Calendar view.
3. Click on the "Find" button.
4. Enter the text, CalendarWiz, into the "Look For"
field.
5. Click on "Find Now" and a list of entries will
appear.
6. Select and delete any or all items.
Importing Comma Separated Files Into Outlook
1. Open Microsoft Outlook.
2. On Outlook's menu bar, go to "File" then select the
"File Import and Export..." menu option.
3. Choose "Import from another program or file" and
click "Next".
Note: At this step you may get a message that reads
"Outlook cannot start the required translator. This
feature is not currently installed. Would you like to
install it now?" If you see this message, insert your
Microsoft Office installation disk and click Yes. If you
do not have your Microsoft Office disk, go back and
create a vCalendar export file which will import into
Outlook without the translators installed.
4. Select "Comma Separated Values (Windows)" and click
"Next".
5. Click on the "Browse..." button and select the file
"CalendarWiz_Export.csv" and click "OK".
Select "Replace duplicates with items imported" and
click "Next".
6. Select Calendar and click "Next". Click on "Finish"
and your file will be imported into Outlook.
Removing CalendarWiz Imported Entries From Outlook
You can remove Outlook calendar entries imported from
CalendarWiz using the following steps:
1. Open Microsoft Outlook.
2. Go to the Outlook Calendar view.
3. Click on the "Find" button.
4. Enter the text, CalendarWiz, into the "Look For"
field.
5. Click on "Find Now" and a list of entries will
appear.
6. Select and delete any or all items.
Importing vCalendar Files Into Palm
1. Open Palm Desktop on your computer.
2. Go to the Palm Desktop Calendar view.
3. On Palm Desktop menu bar, go to "File" then select
the "Import..." menu option.
4. At the bottom of the file "Import" screen, select
Files of type: "vCal File (.vcs)".
5. Locate the file "CalendarWiz_Export.vcs" and click
"Import". The file will then be imported into the Palm
Desktop calendar.
Note: Remember to synchronize your Palm handheld with
Palm Desktop after you have imported the CalendarWiz
export file.
Removing Duplicates In Palm Calendar:
1. Go to the Palm Desktop Calendar view and from the
menu bar, select the Tools, Addins, Delete Duplicates
menu option.
2. Check the Calendar box and click on the Search
button.
3. Check items to be deleted and press the delete
button.
Importing Comma Separated Files Into Excel
1. Open Microsoft Excel.
2. On Excel's menu bar, go to "File" then select the
"Open..." menu option.
3. In the selection "Files of Type:" at the bottom of
the "Open" screen, select "Text Files (*.prn, *.txt,
*.csv).
4. Locate the file "CalendarWiz_Export.csv" and click
the "Open" button. The file will then open in Excel.
5. To fit cell widths, click on the shaded box at the
upper left corner of the spreadsheet. This will select
the entire spreadsheet. Double click on any margin line
separating two columns (e.g. between the B and C).
Note: The first row of the imported spreadsheet contains
the heading for each calendar field. If an event's
description contains line returns you will only see the
first line of the description. Click on the
"Description" cell to view the entire description.
Note: We do not recommend using Excel's "Import External
Data..." option since event descriptions with line
returns will cause cells to be miss-aligned.
Additional Controls
Previous Month Mini-Calendar: Click on the month name to
go to the previous month.
Save As Favorite: Click here to save a link to the
calendar in your browser's favorites list.
Previous Arrow (left arrow): Click here to go to the
previous month, week, or day.
Go To Today: Click here to go to the current date.
Next Arrow (right arrow): Click here to go to the next
month, week or day.
Go To Date: Click here to open a mini-calendar where you
can select a date and immediately go to that date.
Next Month Mini-Calendar: Click on the month name to go
to the next month.
Select Category: Select from the category list to only
show events in the selected category. Select "All" to
show events in all categories.
Select View: Click on the appropriate button to display
the calendar in month, week, day or list view.
